We pride ourselves on teamwork, precision, and exceptional customer service.</p><p><br></p><p><strong>Position Overview:</strong></p><p>We are looking for a <strong>bilingual (English/Spanish) Administrative Assistant Office Manager</strong> who is ambitious, organized, resourceful, and committed to improving processes through strong communication skills. This is a <strong>full-time, on-the-job training opportunity</strong> with <strong>paid official holidays</strong>, <strong>year-end bonus</strong>, and an <strong>hourly rate of $18-23/hour</strong> with the <strong>opportunity for raises</strong>.</p><p>In this role, you will report directly to the company owner and managers, coordinating project schedules, dispatching field workers, handling administrative workflow, managing Accounts Receivable and Accounts Payable workflows, preparing quotes, providing operational support to ensure smooth day-to-day operations, and more.</p><p><br></p><p><strong>Key Responsibilities:</strong></p><ul><li>Implement and monitor office policies and procedures</li><li>Allocate and prepare installation and sales schedules to meet customer and company expectations</li><li>Schedule and dispatch field workers for projects</li><li>Facilitate communication between customers, vendors, and field staff</li><li>Handle Accounts Receivable and Accounts Payable workflow</li><li>Create invoices, post payments, match receipts, and code transactions in QuickBooks Online</li><li>Perform data entry, prepare quotes, and track project details</li><li>Answer inbound calls with excellent customer service and make outbound calls to stakeholders and leads</li><li>Maintain and improve customer and vendor workflow processes</li><li>Review spreadsheets against bills and invoices to identify discrepancies</li><li>Support management with administrative reports and project coordination</li></ul><p><br></p><p><strong>Qualifications:</strong></p><ul><li>Bilingual: English/Spanish (Required)</li><li>Proficiency with Microsoft Office and Google Workspace</li><li>Satisfactory background check required</li><li>Strong punctuality, resourcefulness, and critical thinking skills</li><li>Preferred: Previous experience in office administration, construction, or related fields</li></ul><p><br></p><p><strong>Schedule & Availability:</strong></p><ul><li>Monday–Friday, 8:00 AM to 5:00 PM</li><li>On-call availability upon request</li></ul><p><br></p><p><strong>Employment Terms:</strong></p><ul><li>You are expected to sign a Non-Disclosure Agreement (NDA) and authorize a background check before your start date</li><li>The first 90 days are an introductory <strong>temp-to-perm</strong> period to evaluate performance</li><li>After 90 days, you may be offered a <strong>permanent position</strong> with R.O.
